FireEye is seeking an Executive Assistant to support the SVP of Global R&D, VP of Orchestration & Integration and VP of Service Delivery Operations.
This position supports executives in advancing FireEye’s mission of relentlessly protecting our clients and works with the extended team to implement FireEye’s vision, strategies, and goals.
Responsible for providing administrative support to the SVP of Global R&D, VP of Orchestration & Integration and VP of Service Delivery Operations.
Read and respond to email on behalf of executives
Ability to prioritize, analyze, and synthesize high volume of email and raise most important for response by executive directly
Perform contract management, budgets, reconcile invoices and process expense reports for the leadership team
Schedule and manage calendars
Initiate purchase orders
Develop draft communications on behalf of the executives
Arrange and coordinate travel plans and associated visa filings as required
Interact daily with other executive assistants across FireEye and provide back-up support when needed.
Assist in preparing for regular recurring meetings; this includes data analysis, presentation creation, talking points, executive talking points, etc
Attend meetings, as necessary, to capture take-a-ways and work with stakeholders to ensure follow up.
Assist in special projects and research on an as-needed basis.
BA / BS degree, or equivalent experience.
Minimum of 5+ years of high level, complex executive administration work experience in a dynamic and fast paced environment, or equivalent experience.
Advanced user of Microsoft Office
Experience making or managing domestic and international travel arrangements (including assisting with business visas when applicable)
Ability to interface effectively with all levels of staff and executives internally & externally, both as part of a team and independently
Must be able to work independently, produce work-product of the highest quality and accuracy, and take ownership for all assigned responsibilities.
Demonstrated ability to take initiative, anticipate needs and exercise independent / sound judgment.
Proven time management skills with ability to prioritize and handle multiple tasks and work in a fast-paced environment and remain cool under pressure when faced with changing priorities.
Strong integrity, demonstrated ethical behavior, ability to maintain confidentiality and work with confidential information, and the ability to exercise appropriate discretion with sensitive issues
Proven track record of developing effective partnerships and collaboration across multiple groups and interests
Exceptional written and verbal communication skills; ability to listen and simplify details depending upon target audience
Strong presentation skills; ability to create presentations for executive management across a wide range of topics
Ability to travel as needed up to 10%
Experience supporting executives for cybersecurity or related high-tech companies
Experience in project or financial management
Experience supporting programs and projects in an engineering organization
