Job Summary

Administers and reviews contracts, agreements, SOW’s and proposals for IT. Works in collaboration with Legal, Accounts Payable and Supply Chain Procurement departments.

Utilizes Legal department to research, verify and correct contracts.

Minimum Job Requirements

  • 2-3 years of experience with Information Technology contract development, contract standards, and language
  • Prior customer service experience
  • Proficient with Microsoft Products (Excel, Word, and Outlook)
  • Job Specific Duties

  • Administers and renews long-term technology contracts, agreement, SOW’s, and proposals. Provide assistance in procurement for high-
  • value, high-risk projects and / or other areas as directed. F : Daily / T : 1-4 hours R : Shared

  • Arranges contracts for tangible goods, technical and professional services and wherever necessary for additional projects.
  • F : Weekly / T : 1-4 hours R : Shared

  • Tracks long-term contracts including specification, acquisition, maintenance and support requirements. F : Weekly / T : 1-4 hours R : Individual
  • Work with vendors and internal service providers to maintain a professional relationship. Serve as the authorized point of contact for internal / external customers for all IT contracts / services.
  • F : Daily / T : 1-4 hours R : Shared

  • Tracks paperwork for all phases of IT contracts. Organizes, maintains, and electronically tracks all contracts and related documents.
  • F : Weekly / T : 1-4 hours R : Individual

  • Assists with contract execution (signatures and counter-signatures), administration, tracking, and analysis, as well as, contract compliance.
  • F : Weekly / T : 1-2 hours R : Individual

  • Handles and update software and hardware license agreements at the direction of Director, Manager or appropriate personnel directly related to purchase.
  • F : Monthly / T : 1-4 hours R : Individual

  • Monitors vendor contract expiration and notifies personnel prior to contract end date to verify extension / renewal. F : Monthly / T : 1-4 hours R : Individual
  • Ensures vendors meet defined requirements and does not attempt to increase annual renewals over 5%. F : Weekly / T : 1-4 hours R : Individual
  • Monitors & compares achieved service levels with agreed service level targets; uses measures to improve cost & performance to ensure all agreements for IT services are delivered according to specs.

  • Assists in gathering the necessary forms and documents to create vendor documentation when applicable. Assists in getting contract executed and sends documents to Legal when received.
  • F : Weekly / T : 1-4 hours R : Shared

  • Submits contract / SOW / agreement in system RQC for approval and follows through to PO issued. Verifies vendor has received PO.
  • F : Weekly / T : 1-4 hours R : Individual

  • Reviews non-receivable invoices in ImageNow so vendor can be paid. Verifies services occurred and invoice is in compliance with contract terms.
  • Verifies PO has funds and avoids duplicate charges. F : Weekly / T : 1-2 hours R : Individual

  • Works in conjunction with AP and vendors for all invoice / payment related issues. (I.E. PO out of funds, invoice amount does not match PO, invoice is missing PO and invoice contains wrong PO).
  • F : Weekly / T : 1-4 hours R : Shared

  • Oversees contractual obligations to actual payments or credits and validates accordingly. F : Monthly / T : 1-4 hours R : Individual
  • Knowledge, Skills, and Abilities

  • High School education or equivalent preferred.
  • Healthcare experience preferred.
  • Certified Federal Contracts Manager (CFCM), Certified Professional Contracts Manager, or (CPCM) designations preferred.
  • Ability to follow verbal and / or written instructions.
  • Ability to meet critical deadlines under stressful conditions.
  • Ability to work under stress conditions and to successfully handle situations efficiently and effectively.
  • Good oral and written communications skills.
  • Strong organizational skills and excellent attention to detail.
